Events Production Manager

The Role:

HemingwayDesign are looking for an experienced Mid Level/Senior Events Production Manager to oversee and organise events across our events and placemaking portfolio. You’ll be part of a team ensuring that HemingwayDesign produced events are successful, impactful and cost-effective paying attention to budget and time constraints and to the values of HemingwayDesign and our clients.

Our events arm is focused on placemaking – we work with places undergoing regeneration to create events that will bring audiences to a place – and enthuse them about a newly emerging area. Our events are focused on creativity, imagination, supporting small businesses, promoting sustainability and getting people involved in creative activities.

Core Responsibilities:

  • Involved in creative discussions and planning accordingly to enhance the event’s success
  • To be the main point of contact on site during set up, during and de rig of each event.
  • Managing resources, staff and suppliers to deliver the event
  • Being responsible for supplier sourcing, negotiation and management
  • Creating event and production schedules
  • Conducting post event analysis and producing post event production reports
  • Responsible for hiring and management of event specific personnel (door staff etc)
  • Coordinate all operations
  • Liaise with the communications, marketing and curatorial teams
  • Ensure that all aspects of the delivery meet HemingwayDesign’s curatorial, sustainability and social value standards
  • Event layout to inc. content placement, staging / venue infrastructure, back of house areas, food and drink zones, toilets etcProduce site maps / plans using CAD (or appropriate alternative)
  • Produce wayfinding schedules and work with the design team to ensure they are fit for purpose
  • Ensure the event is completed smoothly and step up to resolve any problems that might occur
  • To line manage the team of technical staff, directing the work of permanent technicians, daily/hourly paid staff and casual crew on a show by show basis. To ensure that adequate and appropriate technical support is provided in advance, during and following events
  • To attend site visits and production meetings as required
  • To assist in the costing and production of client proposals based on their briefs
  • Assess the technical requirements of future events to ensure compatibility with the venues and to determine potential costs
  • To work with other departments to determine requirements for events and to maximise impact of these events
  • Coordinate Lighting, Sound, Video, Set and Staging, electrical infrastructure, communications and any other technical equipment necessary for events
  • To ensure budgetary targets are met through the proactive management of staffing levels on an event by event basis. Minimise costs, where possible, whilst maintaining high standards of production values, health and safety and client satisfaction and relevant Health and Safety legislation.
  • Working in conjunction with our Health and Safety Manager, ensure that departmental and event-related activities are risk-assessed and producing adequate Event Safety Management Plans (ESMP’s)
  • To ensure that events are run in line with regulations pertaining to the Premises Licence. To liaise with licensing, safety and emergency services officials as required.
  • To obtain special permissions where required (pyro’s, lasers, radio mic licenses etc)
  • As and when needed to rig, de-rig and operate equipment during events

Skills Required:

  • Creative production flair and imagination to make events memorable and stand out
  • Strong interpersonal skills (team, partner and client management), able to build strong relationships quickly
  • Excellent organisational and time management skills, with a working knowledge and experience of delivering medium and large complex outdoor events to tight timelines whilst being astute and prudent with budgets
  • A keen eye for detail combined with sound decision making skills, able to keep calm and focused in stressful and high-pressure environments
  • Proficient in software that is able to produce to-scale maps (CAD or a-like)
  • Computer savvy; proficient in MS Office, Google Suite and basic Adobe Software
  • Proven experience as event production manager for medium and large scale creative-led events (minimum 3 years)
  • Skilled in project management
  • Knowledge of KPIs and marketing techniques for event management
  • Outstanding communication and negotiation ability
  • Excellent organisational skills
  • A knack for problem-solving
  • Proven leadership and management skills, with experience of staff and crew management
  • Knowledge of the production process and resource/timescales needed to realise production requirements

Salary & Benefits:

  • Salary dependant on experience and skills 
  • Four weeks paid holiday plus all public holidays (depending on contract)

Comms & Social Media Coordinator

The Role

The Comms & Social Media Coordinator will be responsible for the planning, organisation and implementation of communications for the HemingwayDesign studio including the events and festival portfolio and HemingwayDesign project Charity Super.Mkt. Working with the Events Team, you will help support the development and delivery of a vibrant events programme. You will be responsible for coordinating communications, executing marketing campaigns, creating and delivering original innovative digital content.

Core Responsibilities:

  • To implement digital strategies for the HemingwayDesign studio including events and projects, create and curate outputs across various channels, including website and social media.
  • To plan and deliver cross-channel digital marketing campaigns in line with the event or project goals.
  • To coordinate the digital and print marketing material for HD events, working alongside the Events & Graphic Design team to produce assets promptly.
  • To assist with the design, production and distribution of all promotional materials.
  • To create content and write copy for a range of marketing platforms and materials including websites, social media, newsletters and above the line advertising.
  • To maintain and update event websites.
  • To manage mailing lists ensuring it is up to date and the necessary information / data is being captured.
  • To organise PR briefings and build relationships with key journalists / influencers.
  • To monitor and record media coverage and file digital and hard copy press cuttings
  • To manage and respond to social media comments.
  • To manage and update the event image library.
  • To supply data insights for improving the marketing and digital activities across the portfolio.
  • To achieve set targets for engagement, interaction and attendance, for each event.
  • To produce and source distinctive content for HemingwayDesign event social platforms.
  • To identify a programme of activity and themes for marketing and communications.
  • To implement a plan to achieve and support agreed annual targets.
  • To ensure the content reflects each event’s specific and diverse audiences.
  • To work effectively with other departments, internal and external suppliers and partners
  • To collaborate with the curatorial and content production teams to help source and attract new talent and contributors.
  • To produce personalised promotional materials that enable participants and contributors to endorse the event.
  • To manage film and photography crews at all events.
  • To supply event analysis and reporting on comms and social media performance – continuous analysis and evaluation of marketing campaigns to improve performance.
  • To manage HemingwayDesign’s LinkedIn account.

Skills Required

  • Some industry experience is preferred but we prioritise talent and personality over experience
  • A genuine enthusiasm for the arts, awareness of social and cultural trends, and a keen interest in the political Zeitgeist
  • Excellent written communications skills and the ability to communicate clearly and appropriately with a range of audiences and stakeholders
  • Highly creative and full of bright ideas with an ability to be versatile, work autonomously and manage multiple work streams and meet deadlines in a fast-paced environment
  • Excellent at allforms of communication including presentation, copywriting skills and collaboration – as a client-facing member of the team, you will have to present to clients
  • Ability to build good relationships internally and externally
  • Rigorous attention to detail, high standards and pride in your work
  • Strong communication skills with fluent spoken and written English
